Main Purpose

To assist in the efficient operation of the Human Resources Department. To provide general day-to-day HR Support in relation to all HR Operations administration for employees and workers.

Core Duties

  • Assist with the management of the Human Resources Operations 'Email Inbox' responding to
  • queries where possible or forwarding to relevant member of team.
  • Manage the internal administrative processes for the HR Operations team to include; changes
  • to contract, maternity, paternity, right to work, DBS and other necessary HR documents and correspondence
  • Filing, photocopying, dealing with the incoming and outgoing post, and other general admin
  • functions
  • Provide letters to all employees as and when needed, including salary review letters, job title
  • changes, salary changes, end of year letters etc. in a timely and efficient manner and ensuring
  • these changes are communicated to payroll.
  • Process all employees onto the correct benefit schemes and issuing the appropriate
  • paperwork to employees and ensuring details are communicated to the payroll team.
  • Process reference requests such as employment, mortgage and tenancy in line with the set
  • timescales
  • Keep all administrative trackers up to date and accurate on a weekly basis, updating the team
  • on any changes/concerns.
  • Maintain all employee records accurately and efficiently
  • Support the management of the DBS renewal process including overseeing on a weekly basis
  • DBS renewals, issuing DBS applications in a timely manner, checking of ID checks, maintaining the database and dealing with any related queries
  • Assist with the processing of DBS referrals, liaising with the relevant HR Advisor and logging
  • cases that have been submitted.
  • Monitor and maintain the Right to Work spreadsheet, ensuring all Right to Work details are
  • up to date and highlighting to the Senior Manager and Senior HR Change and Projects Advisor
  • when permits are due to expire.
  • Ensure the maintenance of employee records, ensuring complete accuracy and confidentiality 13. Provide a high level of customer service to all stakeholders
  • Support the team in the delivery of its objectives demonstrating a ‘can do’ attitude and
  • adopting a flexible and resourceful approach
  • Maintain an awareness of HR best practice at all times
  • Ensure the HR administrative processes are effective and efficient, working with the wider HR
  • team to evolve and streamline them as and where appropriate.
  • Support the HR team with project administration as and when required.

 

  • Academic
  • Education to at least GCSE standard, with passes at Grade C (or equivalent) in English and Maths
  • Skills
  • Good IT skills; ability to use Microsoft Office packages including Word, Excel and Outlook.
  • Training will also be given

  • High level of attention to detail and high level of accuracy
  • Strong written and verbal communication skills
  •  Excellent interpersonal and communications skills, in person, by telephone and in emails
