Pay Rate (£): £19,000 per annum

Role Overview

The Clinical Administrator will work with the Clinical Team to ensure a safe and effective service is being delivered, you will assist the Clinical Lead by recording, monitoring and reporting on the compliance of the Clinical Team and the service they are providing

You will be required to support the Clinical Team by ordering stationary and other consumables, completing the filing, keeping the computer systems and recording logs up to date, sending out monthly records and any other duties designated by the Clinical Lead

You will need to ensure all files; paperwork and reports are in line with Policy and Procedure, Legislation, local authority agreements and CQC Registration

 

Key Responsibilities

  • You will work alongside the Clinical Team in ensuring we deliver high quality, safe and effective support
  • Check the Clinical Teams diary visits against notes on the Cold Harbour system to ensure every visit is documented. Report to the Clinical Lead any outstanding notes.
  • Compile a weekly report for the Clinical Lead which details any new assessments updates, any outstanding care plans/risk assessments/reviews, any training/competencies that need completing/reviewing and any paperwork due for collection. Print and file final report.
  • Keep a record of ended packages and whether the home folders have been collected.
  • Add all received paperwork/documents/letters on to Cold Harbour, scan onto the shared drive and file
  • Maintain filing cabinets by filing, creating new folders and archiving
  • Print and send paperwork to all packages including monthly charts,
  • Manage monthly charts by creating for new packages, checking for changes and amending as advised
  • Create home and office folders for new packages, checking all paperwork is in place and getting the Clinical Lead and Branch Manager to sign off before the package starts
  • In conjunction with Clinical Lead arrange any Team Meetings, attend meetings as minute taker, following up on any actions identified to ensure completed
  • Responsible for the ordering of monthly consumables i.e. gloves/aprons
  • Keeping a log of all People We Supports’ birthdays and organising card/gifts to be sent to them.
  • Adding key skills to new packages and the support team on Cold Harbour, adding dates of when skills assessed competent, filing competencies and running a weekly compliance report to be sent to the Clinical Team
  • Providing a comprehensive, high quality general administrative facility for the business including, letter writing, minutes taking, ordering of stationary etc.
  • Ensure High standards of care and support are delivered through pro-active auditing.
  • Ensuring all policies and procedures applicable to the service and the company are followed and understood in order to comply with regulations and good practice.
  • Participate in the on call service on a rota basis, maintain appropriate records and review scheduling systems.
  • Complete reports as required, monitor and action accordingly, ensuring reporting to the Clinical Lead and Branch Manager is maintained.
