Focused Healthcare Specialist Children’s Complex Healthcare providers are a team of Registered Clinical Nurse Managers, Clinical Educators, Paediatric Nurses and Healthcare Assistants that provide health care support to children and young people within their own home and educational settings.

Role Overview

As Bookings Manager, you will have overall responsibility for the appropriate coordination of our team of Health Care Assistants and Nurses to ensure provision of commissioned services to the children and families we support. You will support and oversee the effectiveness of the bookings administrators and liaise with families and staff on a regular basis.

You will report directly into the Office Manager and be accountable for the performance of the Bookings Team.

Self-motivation, determination, excellent communication skills and efficiency are key attributes for this pivotal role.

 

Key Responsibilities

  • To be an advocate for good and efficient rota management
  • To develop methods to ensure the rota is completed as far in advance as possible
  • To provide a stable and effective rota with as little reliance on late filling as possible
  • To develop relationships with employees and workers to effectively and efficiently fill gaps
  • Organise the bookings team and ensure the distribution of workload is fair and effective
  • Support the team to complete and maintain rotas in line with deadlines and competency of staff.
  • Ensure Nurses and HCA’s have appropriate shifts allocated and any gaps in schedules are filled with appropriate Health Care Assistants as soon as possible.
  • Oversee system maintenance related to schedules and support packages ensuring hours and shift patterns are correct at all times and any ended packages have been made dormant on the system
  • Involvement in setting up of new package including system set up of shifts, and booking staff for introduction meetings and initial rotas.
  • Ensure carers are identified for packages and the clinical nursing team are informed to ensure meet and greets take place and skills, experience and knowledge are discussed 
  • Liaise with Clinical Nurse managers and clinical educators to ensure effective communication, ensuring that any issues the booking team have identified on packages are discussed as a multi-disciplinary approach and agreed actions are completed
  • Participate in the on call service on a rota basis and ensure accurate recording
  • Support the Recruiter by actively participating in recruitment meetings to establish exact recruitment requirements
  • Work with the Quality & Compliance team to ensure all staff are suitably qualified for the shifts they are planned to work and to enable the QC team to plan required training.
  • Assisting in the management of incoming calls and ensuring all communication coming to the office is acknowledged and passed to the correct person to deal with.
  • Engage and support in business growth activity by providing capacity for new referrals as requested
  • Conduct daily team meetings, and monthly team supervisions
  • Monitor, coach and manage the performance of your team to ensure maximum efficiency
  • Actively participate in monthly head of department meetings
  • To provide feedback on employees that provide difficulty in rota management
  • To maintain a constructive working environment in a pressurised area
  • To develop the skills of the booking team to meet objectives
